    Job Summary
    We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support within our electrical, heating and air company office. The ideal candidate will be proficient in managing front desk operations, handling multi-line phone systems, and performing various clerical tasks to ensure smooth office functionality. This is a 1099, contract role.

    Duties

    • Greet and assist visitors in a professional manner, ensuring a welcoming atmosphere.

    • Manage incoming calls using a multi-line phone system, directing calls as necessary while maintaining excellent phone etiquette.

    • Perform data entry tasks, including maintaining accurate records and filing systems.

    • Utilize QuickBooks for bookkeeping tasks and assist with basic accounting functions.

    • Provide administrative support by managing calendars, scheduling appointments, and coordinating meetings utilizing Microsoft Office and Google Suite.

    • Handle customer inquiries via website, email and phone channels --- provide support to ensure a positive experience for all clients.

    • Maintain office organization through effective filing systems and document management.

    • Assist with proofreading documents to ensure accuracy and professionalism.

    • Support office management functions as needed, including inventory management of office supplies.

    Qualifications

    • At least 1 year of administrative office support (remote or on-site) is required.

    • Must pass a drug test and possess a clean background.

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

    • Familiarity with QuickBooks for bookkeeping purposes is preferred.

    • Strong organizational skills with the ability to manage multiple tasks effectively.

    • Excellent typing skills with attention to detail for data entry and document preparation.

    • Strong time management skills with the ability to prioritize tasks efficiently.

    • Ability to manage a classroom effectively while maintaining a positive learning atmosphere.
